About the Role
This is a purely administrative and operational role. We do not need a salesperson; we need a "doer"—someone who can manage workflows, handle medical documentation, and ensure that the clinical operations behind the scenes run flawlessly.
Note: This is a long-term, stable position. We are looking for a team player who is ready to learn the nuances of the U.S. healthcare system and grow with the practice.
Key Responsibilities
Communication Management
: Act as the primary point of contact for hospitals, surgical centers, and insurance providers via email. You will handle routine inquiries regarding scheduling, patient records, and procedural documentation.
Workflow & Schedule Coordination
: Monitor the calendar, tracking changes and ensuring the doctor is updated on any schedule shifts.
Data Entry & Billing Support
: Maintain accurate records in internal systems.
No Client Calls
: You will not be required to make voice calls to patients.
Schedule & Availability
Time Zone
: You must be willing to work on a schedule aligned with U.S. business hours (typically until 20:00 or 21:00 EET/CET).
Flexibility
: While administrative tasks can be distributed throughout the day, evening availability is required for synchronization and responding to urgent schedule changes.
Requirements:
1. Language Skills

Written English (Upper-Intermediate/Advanced)
: You must be able to write clear, professional, and grammatically correct emails to medical professionals.

Spoken English (Upper-Intermediate)
: You need to understand instructions and communicate effectively during internal video calls. A perfect accent is not required.
2. Professional Traits
- Proactive & Problem-Solver: We need someone engaged and "alive"—a person who identifies potential scheduling conflicts before they happen.
- High Attention to Detail: You will be handling sensitive medical data. Accuracy is critical; there is no room for "typos" in patient records.
- Stability: We are looking for a long-term commitment. You must be reliable and able to work consistently without frequent interruptions.
3. Technical Skills
Familiarity with Notion, Slack, and Google Workspace is essential.
Ability to learn new platforms quickly.
